Out of Staters (OOS) Bicycle Club maintains a clear and fair refund policy for all charter fees and event registrations.

Standard Cancellation and Refund Terms

Refunds for charter fees will be issued through June 10, 2025, less a 10% cancellation fee.

No refunds will be given after June 10, 2025. This policy is strictly enforced.

Cancellation Protection Plan

Cancellation Protection can be added to any customer’s cart for an additional $97. This extends the normal cancellation deadline from June 10th to July 10th (one week before we meet riders on the east side of the state).

This protection plan allows you to cancel for any reason up to July 10th and receive a refund less the 10% cancellation fee.

Travel Coverage Recommendations

We strongly recommend purchasing optional travel coverage to protect your vacation through our site or a company of your choosing. Find something that covers unexpected changes to your plans, including accidents, illness, or other unforeseen circumstances.

Travel coverage typically protects against:

• Medical emergencies
• Unexpected illness or injury
• Family emergencies
• Travel delays or interruptions
• Other unforeseen circumstances beyond your control

How to Request a Refund

To request a refund, cancellations must be submitted in writing by one of the following methods:

1. Email: Send your cancellation request to oosbicycleclub@gmail.com
2. Certified Mail: Mail your cancellation request to: Out of Staters Bicycle Club 101 N. Hyland Cir. Mount Pleasant, IA 52641

Important: Cancellations by phone or regular postal mail will not be accepted. Your cancellation must be received by the applicable deadline (June 10th or July 10th if you purchased Cancellation Protection).

In your cancellation request, provide:

• Your full name
• Registration details (event name, registration date)
• Reason for cancellation
• Preferred refund method (if different from original payment method)

Refunds will be processed within 10 business days of approval and will be credited to the original payment method.

Cancellation by OOS Bicycle Club

If OOS Bicycle Club cancels an event due to insufficient enrollment, unsafe conditions, or circumstances beyond our control, participants will receive a full refund of all fees paid, including any Cancellation Protection fees.

The club is not responsible for additional costs incurred by participants, including but not limited to airfare, lodging, or other travel arrangements made outside of the tour package.

Non-Refundable Items

The following are non-refundable under any circumstances:

• Third-party travel insurance purchased through external providers
• Personal travel arrangements made independently (flights, hotels before/after the tour, etc.)
• Any services consumed prior to cancellation
