By registering for an Out of Staters (OOS) Bicycle Club event, you agree to the following terms and conditions.
Registration and Payment
Full payment is required at the time of registration to secure your spot. Registration is confirmed only upon receipt of payment.
Refund and Cancellation Policy
Refunds for charter fees will be issued through June 10, 2025, less a 10% cancellation fee. No refunds will be given after this date. This policy is strictly enforced.
Cancellation Protection can be added to any customer’s cart for an additional $97. This extends the normal cancellation deadline from June 10th to July 10th (one week before we meet riders on the east side of the state).
We strongly recommend purchasing optional travel coverage to protect your vacation through our site or a company of your choosing. Find something that covers unexpected changes to your plans, including accidents, illness, or other unforeseen circumstances.
Cancellation by OOS Bicycle Club
OOS Bicycle Club reserves the right to cancel any event due to insufficient enrollment, unsafe conditions, or other circumstances beyond our control. In the event of cancellation by the club, participants will receive a full refund of all fees paid. The club is not responsible for any additional costs incurred by participants, including but not limited to airfare, lodging, or other travel arrangements.
Assumption of Risk and Liability Waiver
Bicycle touring involves inherent risks, including but not limited to traffic hazards, road conditions, weather, equipment failure, and physical injury. By participating in OOS Bicycle Club events, you acknowledge these risks and assume full responsibility for any injury, loss, or damage that may occur.
You agree to release, indemnify, and hold harmless OOS Bicycle Club, its officers, employees, volunteers, and affiliates from any and all claims, liabilities, damages, or expenses arising from your participation in club events.
Medical Fitness and Requirements
Participants must be in good physical health and capable of completing the planned cycling activities. You are responsible for disclosing any medical conditions that may affect your ability to participate safely. OOS Bicycle Club reserves the right to exclude any participant whose health or fitness level poses a risk to themselves or others.
In the event of a medical emergency, you authorize OOS Bicycle Club to secure necessary medical treatment on your behalf. You are responsible for all medical expenses incurred.
Participant Responsibilities
You are responsible for:
- Bringing a bicycle in good working condition or arranging a suitable rental
- Wearing a properly fitted helmet at all times while riding (required)
- Following all traffic laws and club safety guidelines
- Carrying adequate personal health insurance
- Bringing appropriate clothing, gear, and personal items for the trip
- Respecting fellow participants, staff, and local communities
Code of Conduct
Participants are expected to conduct themselves in a respectful and courteous manner. Behavior that endangers others, disrupts the event, or violates local laws may result in immediate dismissal from the tour without refund. This includes but is not limited to:
- Excessive alcohol consumption or drug use
- Harassment or abusive behavior toward other participants or staff
- Reckless cycling that endangers yourself or others
- Failure to follow instructions from tour leaders
Itinerary Changes
OOS Bicycle Club reserves the right to modify routes, accommodations, or activities due to weather, road conditions, safety concerns, or other factors. While we make every effort to maintain the planned itinerary, changes may be necessary and will not constitute grounds for refund.
Equipment and Personal Property
OOS Bicycle Club is not responsible for loss, theft, or damage to personal property, including bicycles, during any event. We recommend that participants carry adequate insurance coverage for valuable items.
Photo and Media Release
By participating in OOS Bicycle Club events, you grant permission for the club to use photographs, videos, or other media featuring you for promotional purposes, including but not limited to website content, social media, and marketing materials. If you prefer not to be photographed or featured, please notify us in writing prior to the event.
Minimum Age Requirement
Participants must be at least 18 years of age unless accompanied by a parent or legal guardian. Minors must have written parental consent to participate.
Privacy Policy
OOS Bicycle Club collects personal information solely for the purpose of event registration and communication. We do not share, sell, or distribute your information to third parties except as required by law or to facilitate event services (such as lodging or transportation providers).
Governing Law
These terms and conditions are governed by the laws of the State of Iowa. Any disputes arising from these terms will be resolved in the appropriate courts of Henry County, Iowa.
